Handing a WhatsApp conversation from support to sales

Recognise genuine buying interest during support conversations and transfer it with context, clear ownership and respect for the original issue.

A customer contacts support about an existing product and then asks about buying another one. That can become a useful sales conversation, but only if the original support need remains owned. A handoff should add help rather than make the customer repeat the problem to a different person.

This guide is published by the team behind Flas CRM. We sell one of the products in this category, so treat it as a vendor's checklist — the criteria are written to be useful whichever tool you end up choosing.

Resolve or clearly retain the original issue

Before transferring anything, identify what still needs to happen on the support side. If the product problem is unresolved, keep a named owner for it. Buying interest should not cause the original request to disappear from view.

Ask whether the customer would like help with the new purchase. A mention of another product is not always an invitation to start a sales sequence. Follow the customer's intention rather than treating every support interaction as an upsell opportunity.

Transfer the useful context

  • The product or service the customer already uses.
  • The support issue and its current state.
  • The new requirement the customer actually expressed.
  • Any timing or compatibility detail that affects the recommendation.
  • The person responsible for each remaining action.

Keep the handoff factual. “Interested in an additional unit for another office” is more useful than “hot lead.” The salesperson needs the requirement, not an optimistic label.

Make the customer-facing transition clear

A short message can explain that a colleague will help with the new request while the original issue remains with its current owner. Avoid saying the customer must start again in another channel unless there is a practical reason.

In Flas, evaluate the shared inbox assignment and contact pipeline for this workflow. Check how your team preserves the support context while recording the new opportunity. Do not assume one conversation status can represent both jobs adequately.

Test a conversation with two open actions

Use a fictional customer waiting for a replacement accessory who also wants a quotation for a second unit. Ask one agent to manage the support action and another to handle the quotation. Then inspect whether both can identify what they owe the customer.

The test fails if either person assumes the other owns everything. It also fails if the customer receives conflicting updates because the commercial and support facts were not shared.

Measure the quality of the handoff

Review whether the customer had to repeat details, whether the original issue was completed and whether the sales next step was appropriate. Do not judge the support team only by the number of opportunities it creates. That can encourage unnecessary transfers and weaken service.

Use the handover checklist for durable notes and the qualification guide for the new requirement. A good transfer leaves the customer with more useful help and the business with clearer responsibility.
