An after-hours WhatsApp chatbot that sets the right expectation
Use after-hours automation for approved answers and useful enquiry capture while making human availability and next steps clear.
A customer messaging at night may need a simple fact or may need a person who is not available until morning. An after-hours chatbot should distinguish those situations. Pretending the full team is present can create a promise the business cannot keep.
This guide is published by the team behind Flas CRM. We sell one of the products in this category, so treat it as a vendor's checklist — the criteria are written to be useful whichever tool you end up choosing.
Define what can be answered without a live check
Approved opening hours, published service descriptions and the information needed for a quotation may be suitable starting points. Stock, bespoke prices and delivery commitments may require confirmation. Build the scope around the information your team can keep current.
Flas describes answers from business knowledge and human handoff on its feature page. Test your actual configuration before treating it as an unattended service. A listed capability does not establish the quality of every answer.
State human availability clearly
Tell the customer when the team normally reviews enquiries and what they can leave in the meantime. Use the actual business hours and keep holiday exceptions current. Avoid “an agent will reply shortly” when nobody is scheduled to check the inbox for several hours.
An illustrative message might say: “Our team reviews new enquiries from 9 am on working days. If you share the product and quantity, we can pick this up with the details ready.” Adapt this to your real hours and process; it is not a universal response promise.
Collect context, not a full application
| Enquiry | Useful information to leave |
|---|---|
| Product question | The item and the detail the customer needs |
| Service quotation | The service, location and broad timing |
| Existing order | The reference needed by the receiving team |
| Request for a person | The topic and preferred next contact step |
Do not ask for sensitive or unrelated details simply because the bot can collect text. Keep the request proportionate to the next action.
Design the morning handover
Assign someone to review overnight conversations before they disappear under new messages. Separate enquiries already answered from those needing human action. Check what the bot promised and whether the customer supplied the requested details.
For a quotation request, create or update the relevant opportunity through your normal process. An overnight conversation should not remain permanently “handled by bot” when a salesperson still owes the next step.
Test a closed-hours exception
Ask for a human, request an unavailable price and change the question mid-conversation. Confirm that the bot stays within scope and leaves a usable record for the morning team. Review any case where it implies an immediate commitment.
Use the handoff guide and daily inbox routine. Useful after-hours automation makes the next working day easier while being honest with the customer about what can happen now.
