Is your business ready for WhatsApp automation? A practical checklist

Check knowledge quality, ownership, handoff and measurement before automating WhatsApp conversations so the workflow has a solid foundation.

If staff disagree about prices, hours and who should answer an enquiry, automation will inherit that confusion. Readiness is less about having a large message volume and more about having a process that can be explained consistently.

This guide is published by the team behind Flas CRM. We sell one of the products in this category, so treat it as a vendor's checklist — the criteria are written to be useful whichever tool you end up choosing.

Can the team agree on the answers?

Choose ten common customer questions and ask two employees to answer them independently. Compare the facts, conditions and next steps. Differences may reveal missing policy or outdated information. Resolve those before asking a chatbot to choose between them.

Keep an approved source for each answer and name the person who maintains it. A knowledge set assembled once and then forgotten will not stay aligned with the business.

Can the team explain the exception?

For each answer, identify when it stops being safe to use. A standard price may not apply to a custom quantity. A delivery statement may depend on location. The bot needs a clear route for questions that fall outside the approved facts.

Flas describes business-knowledge answers and human handoff on its feature page. Evaluate those capabilities with your exceptions, not only the easiest questions.

Does someone own every transfer?

Readiness questionEvidence to look for
Who handles human requests?A named team and a checked assignment process
What happens after hours?Accurate availability wording and a morning review
Who corrects a wrong answer? An owner for the source and configuration change
How is success checked?A repeatable review of answer quality and next actions

If these answers are unclear, start by improving the shared inbox process. A bot should not become a place where unresolved work is parked.

Choose a narrow first scope

Begin with one useful category of repeat questions. Keep custom quotations and uncertain commitments with people until the business has a dependable process. The first rollout should be small enough that the responsible team can inspect what happens.

Do not make the target “automate everything.” Choose an observable improvement, such as giving accurate service information while collecting the details needed for a human quotation.

Run the test before the announcement

Ask common questions, incomplete questions and direct requests for a person. Check the customer-side messages and the receiving agent's view. Fix unsupported promises and failed transfers before expanding availability.

Use the test plan and knowledge checklist. A business is ready to automate a workflow when it can explain the approved answer, recognise the exception and name the person responsible for what happens next.
