Managing multiple WhatsApp business numbers in one CRM
Organise several WhatsApp numbers with clear brand ownership, reply checks and handover rules before adding more channels to the inbox.
A customer who messages a showroom number expects the showroom to answer. When several numbers share one workspace, agents need to preserve that context even if the same people cover multiple locations. More numbers should make access clearer, not make the business identity ambiguous.
This guide is published by the team behind Flas CRM. We sell one of the products in this category, so treat it as a vendor's checklist โ the criteria are written to be useful whichever tool you end up choosing.
Write a purpose for every number
List the brand or branch, audience, working hours and responsible team. Include where the number appears: website pages, printed materials, advertisements or existing customer records. This inventory reveals old numbers that still receive enquiries even though nobody actively monitors them.
A number should exist for a customer-facing reason. Adding one because the software supports it creates another entry point to maintain. If two numbers serve the same audience with the same staff, ask whether the distinction is actually useful.
Test the reply identity
Flas's shared inbox features describe several numbers per company, each replying as itself. Confirm this with a test message to each connected number. Inspect the customer-side conversation and business identity, then repeat the test after an agent transfer.
Also check what staff see before replying. A clear number label and the customer requirement should help agents avoid using the wrong branch's hours, offer or delivery promise. Shared access does not make every branch policy interchangeable.
Define coverage when one team is unavailable
| Situation | Rule to document |
|---|---|
| Branch closes earlier | Who monitors new enquiries and what response timing is promised? |
| Specialist agent is absent | Who receives the handover and which questions need confirmation? |
| Customer contacts two numbers | Who coordinates the answer and checks for an existing opportunity? |
| Number connection fails | Who investigates and how the team tracks affected work? |
Keep handovers explicit. An agent covering another branch should be able to acknowledge a request without inventing local availability or committing to a price they cannot confirm.
Separate operational labels from customer identity
A branch label describes where an enquiry arrived. It does not necessarily identify a different customer. When a person contacts two locations, review the records before creating two opportunities or merging them. The customer might be comparing locations for one purchase or buying separately for two sites.
Record the current commercial requirement so the distinction is visible. This is more useful than assuming one phone number always means one deal.
Add numbers only after checking capacity
Estimate the additional enquiry workload and coverage hours. More entry points can create more unanswered work if the same team is already stretched. Test the fallback and ownership rules before putting a new number on public materials.
Use the handover checklist and daily inbox review to keep the setup manageable. The useful outcome is that every number has a purpose and every incoming enquiry reaches a responsible person.
