A WhatsApp CRM trial scorecard your whole team can use
Test a WhatsApp CRM with real sales tasks, weighted criteria and clear pass conditions before committing your team and customer records.
A CRM demonstration is designed to go smoothly. Your business needs to know what happens when a customer changes their mind, an agent is absent or a quotation needs correcting. A short, repeatable trial gives you better evidence than watching somebody else's prepared account.
This guide is published by the team behind Flas CRM. We sell one of the products in this category, so treat it as a vendor's checklist — the criteria are written to be useful whichever tool you end up choosing.
Choose the tasks before opening a trial
Ask two agents and one manager to list the work they repeat each week. Pick five tasks that matter commercially: receiving an enquiry, qualifying it, assigning it, preparing a quotation and continuing it after a handover. Use anonymised examples or fictional customer records so the exercise does not expose real customer information unnecessarily.
Agree on what success means. “Easy to use” is too vague. “A second agent can identify the next action without asking the first agent” is observable. Include one exception in each scenario, such as a changed quantity or a duplicate contact.
A simple weighted scorecard
| Criterion | Suggested weight | Evidence |
|---|---|---|
| Daily agent workflow | 30% | Tasks completed without coaching |
| Sales follow-through | 25% | Owner, quotation and next action remain clear |
| Setup and maintenance | 20% | Your administrator can make a routine change |
| Total cost | 15% | A written estimate covers the required scope |
| Data portability | 10% | A sample export contains usable fields |
These weights are a starting example, not an industry standard. Change them before the trial to reflect your priorities. Score each criterion from one to five, multiply by its weight and keep the supporting notes. An attractive total should not override a failed essential requirement.
Separate essential requirements from preferences
If the system cannot support the number setup, permission boundary or required document format, record that as a blocking gap. A nicer dashboard cannot compensate. For preferences, note whether a workaround is acceptable and who would maintain it.
Ask vendors to label each demonstrated capability as included, optional, integrated or planned. Planned functionality should receive no credit for a decision about today's deployment. Keep a screenshot or written note of the configuration used in the trial.
Give agents time without the salesperson
After the guided demonstration, let the staff repeat the tasks on their own. Watch where they hesitate, which fields they ignore and what they write in a separate notebook. These observations identify training needs and missing workflow steps.
In Flas, start with the shared inbox, pipeline and sales document features. Use the same tasks when comparing another vendor, rather than giving your preferred product easier examples.
Make the decision reviewable
Attach the cost worksheet and migration checklist to the scorecard. Finish with three statements: what passed, what remains uncertain and who owns the remaining work. That makes a buying decision useful to the people who must operate the system after the trial ends.
