Clean contacts before a CRM import: a WhatsApp sales checklist
Prepare contact imports with consistent phone numbers, careful duplicate review, field mapping and preserved consent information.
An import does not improve the quality of the spreadsheet it comes from. It can simply make duplicate customers and ambiguous phone numbers available to more people. Clean a representative sample before moving the whole list into your CRM.
This guide is published by the team behind Flas CRM. We sell one of the products in this category, so treat it as a vendor's checklist โ the criteria are written to be useful whichever tool you end up choosing.
Keep an untouched source file
Save the original export and work on a copy. Record where the file came from and when it was exported. If several systems contributed records, preserve a source column in the working file so differences can be traced.
Choose the fields needed for current work: name, phone, email where relevant, company, owner and the source of any communication permission. Do not import columns just because they exist. Unnecessary personal details increase the amount of information staff must handle without necessarily helping the sale.
Treat phone numbers as identifiers, not arithmetic
Spreadsheet software can remove leading characters or display long numbers in scientific notation. Check that phone fields remain text and that the country information is unambiguous. Do not guess the country of a short local number from the customer's name.
Flag incomplete numbers for review. A blank phone field is easier to repair than a confidently formatted number pointing to the wrong person. Preserve the original value beside the cleaned value while checking the file.
Review duplicates carefully
| Possible match | What to check |
|---|---|
| Same phone, different names | Shared business number, renamed contact or incorrect record |
| Same name, different phones | Different people or one person with several numbers |
| Same company, different people | Distinct purchasing and finance contacts |
| Same email, conflicting permission | The source and date of each preference |
Do not erase an opt-out because another row looks newer or more complete. Conflicting preferences need deliberate review. Importing a contact is not a decision to include that person in a campaign.
Map a sample and inspect the result
Use a small group containing normal records, international numbers, blank optional fields and likely duplicates. Confirm which destination fields the importer supports and what happens to unsupported columns. In Flas, consult the contact management features and the actual import interface before preparing the final file.
After the sample import, open several records as an agent would. Can staff find the customer? Is the phone correct? Did the owner or note land where expected? An import completion message does not establish that every field is useful.
Import in a way you can explain
Keep the cleaned file, mapping notes and any rejected-row report together. Record which batch was imported so a second person does not repeat it accidentally. If records need correction, identify the affected batch before making broad changes.
Use this process within the migration plan, then follow the first-week rollout to make ownership and next actions reliable. A smaller clean list is more useful to the sales team than a larger list nobody trusts.
